Key Responsibilities


Closer Support

  • Manage communication updates: add members to Slack, send WhatsApp morning updates, and prepare end-of-day summaries
  • Draft and send email communications including welcome, follow-ups, confirmations, nurture, and long-term engagement emails
  • Organize Gmail folders and keep inbox structured by lead stage (hot, warm, cold)
  • Manage onboarding workflow: review onboarding forms, cross-check in Fathom, and update ActiveCampaign stages
  • Maintain calendars: remove cancelled calls, adjust call colors, and free up slots
  • Prepare notes for first calls to ensure smooth transitions


Setter Support

  • Send personalized confirmation emails and reminders for scheduled calls
  • Draft handoff emails for closers to review
  • Update CRM records in ActiveCampaign with lead source and ensure smooth transfer of notes from setter to closer


Requirements

  • Proven experience in administrative support, sales operations, or executive assistance - preferably in fast-paced or high-end environments
  • Strong written and verbal communication skills with ability to draft professional, personalized client-facing messages
  • Hands-on experience with ActiveCampaign, Google Workspace, Slack, and WhatsApp
  • Highly organized, detail-oriented, and reliable with excellent follow-through
  • Comfortable handling sensitive information with discretion
  • Service-oriented mindset with ability to deliver white-glove support to founders and high-level clients
