Key Responsibilities


Project Management

  • Manage all active weekly sprints: ensure every task has an owner, a due date, and a current status
  • Build and maintain detailed workback schedules for all client deliverables across growth, creative, and production teams
  • Verify and submit weekly client scorecards, confirming data completeness across all contributing team members
  • Manage the creative pipeline: monitor asset stage movement and ensure the rolling content calendar is always fully populated
  • Maintain organizational standards across Google Drive folder structures, access management, and client onboarding documentation


Client Operations

  • Own all operational infrastructure across an assigned portfolio of client accounts: agendas, sprint management, scorecards, and day-to-day communications
  • Identify and escalate account risks, relationship signals, and delivery gaps before they become client issues
  • Serve as the first point of contact for all tactical client requests; route strategic questions to the Account Director with context and a recommended response
  • Build and distribute all meeting agendas (internal and client-facing)
  • Send structured follow-up communications to clients within 2 hours of every meeting: decisions made, action items, and materials promised
  • Send a proactive, unprompted client status update per week across each account


Operations & Systems

  • Use AI tools (Claude, Notion AI, and others) to automate documentation, draft follow-ups, and generate meeting summaries
  • Identify recurring inefficiencies in account workflows and propose systemized solutions
  • Maintain escalation standards: resolve what you can, escalate what needs context or urgency
  • Manage client communication channels (Slack, WhatsApp, email) with same-business-day response standards


Requirements

  • 5-8 years of experience in project management, account management, or client success - ideally within a marketing, creative, or growth agency
  • Fluency in Notion (sprint management, RACI structures, project databases, agenda templates) - required
  • Demonstrated experience managing multiple client accounts simultaneously with accountability for delivery and client satisfaction
  • Experience managing cross-functional teams through influence rather than authority
  • Solid working knowledge of the modern marketing mix: paid media, organic content, creative production, and performance reporting
  • Familiarity with paid media platforms (Meta Ads Manager, Google Ads) at a conceptual level
  • Comfortable reading marketing scorecards and framing clear client updates independently
  • Strong written communication - clean, clear, and confident in all client-facing copy
  • Full professional proficiency in English (written and spoken)
  • Proactive by nature, highly organized, and obsessive about detail


Nice to Have

  • Track record of building and owning repeatable operational systems
  • Familiarity with creative testing frameworks and performance metrics
  • Experience writing for brand and direct-response formats
  • Ability to create visual references in Canva, Figma, or Keynote
  • Experience presenting to clients or internal stakeholders
  • Exposure to earned media, influencer campaigns, or social storytelling
